QUEUE OPERATIONS GUIDE

Mastering the Live Queue

Learn how STYJOIN's authoritative queue engine powers remote check-in, chair turnover, Running Late reporting, and group customer management.

1. Understanding the Live Queue Architecture

STYJOIN's Live Queue is the central heartbeat of your daily salon traffic. Unlike static appointment books, the queue is a real-time reactive stream that balances walk-ins and remote digital check-ins.

When a client joins the queue, the platform assigns a unique queue ticket ID (e.g., #Q-104) and computes an estimated wait time based on your active chairs and average service durations.

As services progress and chairs turn over, all queued customers receive automatic countdown updates without front-desk intervention.

Operational Best Practice: The queue sequence is strictly determined by arrival timestamp, eliminating customer disputes over who arrived first.

2. Starting a Customer & Seating at Chair

When an operational chair becomes free and the customer arrives, the staff member clicks 'Seat at Chair' or 'Start Service' on the queue ticket.

Select the workstation number (e.g. Chair 02) and designate the performing stylist. The ticket status updates immediately to 'Serving'.

This action automatically decrements your salon's available operational chairs by 1, maintaining exact synchronization across the customer app.

Operational Best Practice: If a customer has not yet entered the physical premises when called, tap 'Call Customer' to trigger an urgent push and SMS reminder.

3. Completing a Service & Chair Turnover

When the haircut or styling treatment finishes, the stylist or cashier taps 'Complete Service' on the active chair card.

The customer is marked as completed, the total service receipt is archived, and the chair status instantly returns to 'Available'.

The system immediately notifies the next person in line that a station is now open and waiting for them.

Operational Best Practice: Encourage stylists to tap 'Complete Service' the moment the customer leaves the chair to ensure your wait time metrics remain razor-sharp.

4. Running Late (+10, +20, +30 Min)

Traffic delays and unexpected errands happen. STYJOIN provides a built-in 'Running Late' feature on every active instant queue ticket.

A customer can report being delayed by choosing +10, +20, or +30 minutes. To maintain fairness for everyone else in line, this feature can only be reported once per queue entry.

When reported, the salon admin board displays an orange 'Running Late (+20m)' badge. The queue sequencing logic intelligently allows prompt customers to be served without penalizing or deleting the delayed customer's ticket.

Operational Best Practice: This prevents angry customers from walking away when stuck in traffic and prevents salon chairs from sitting empty.

5. Group Queues (Up to 3 Guests)

Clients frequently visit salons together—parents bringing children, or friends grooming for an event. STYJOIN supports Group Queue tickets for up to 3 guests under a single primary phone number.

The primary contact selects individual services for each group member. The salon staff can seat group members concurrently across adjacent chairs or sequentially as chairs become available.

Group financials and payment orders are consolidated automatically for seamless checkout.

Operational Best Practice: When seating a group, your admin screen lets you assign multiple stylists simultaneously to finish the group efficiently.

6. Queue Capacity & Throttling

To protect salon staff from being inundated with more customers than can reasonably be served before closing time, STYJOIN supports dynamic queue capacity limits.

If your salon has a 2-hour wait queue approaching closing time, the platform automatically pauses new remote queue entries, displaying a friendly notice: 'Queue full for today. Walk-in reservations open tomorrow at 9:30 AM.'

Salon owners can also manually toggle queue availability at any time during sudden power outages or staff emergencies.

Operational Best Practice: Automated queue throttling protects your stylists from burnout and preserves high service quality.

7. Customer Notifications & Milestones

Customers stay relaxed because STYJOIN sends automated push messages at high-value moments:

1. Queue Confirmation: Ticket ID and starting estimated wait.

2. Halfway Milestone: 'You are now 3rd in line (~15 mins remaining).'

3. Next Up Alert: 'Please head to the salon reception. Your chair is being prepared.'

4. Call to Station: 'Chair 01 with Stylist Rohan is ready for you!'

Operational Best Practice: Automated alerts reduce repetitive availability queries during peak rush hours.
