RESERVATIONS & SCHEDULING GUIDE

Reservations Without Friction

Understand how STYJOIN manages appointment slots, conflict prevention, digital fee handling, the 2-hour cancellation cutoff, and refund audits.

1. Understanding Reservations in STYJOIN

In STYJOIN, reservations are not treated as isolated appointments on a whiteboard. They are fully synchronized with your physical salon chairs and live walk-in flow.

When an appointment is reserved, the platform holds that operational capacity so walk-in queues cannot encroach on the appointment window.

This ensures that when a client books a slot days in advance, they arrive to an attentive stylist and a spotless, ready chair.

Operational Best Practice: You don't need a separate appointment diary. STYJOIN coordinates both walk-ins and reservations automatically.

2. Service Selection & Duration Buffers

During booking, clients choose their exact treatments. Because each service in your catalog has an explicit minute duration (e.g. 45m Men's Grooming, 90m Global Highlights), STYJOIN blocks the precise duration required.

If a client adds multiple services, durations are summed cumulatively to guarantee sufficient time on the floor.

Operational Best Practice: Never artificially shorten service durations to fit more clients. Accurate durations protect your schedule from cascading delays.

3. Dynamic Time Slot Computation

Available time slots are generated dynamically by checking your salon's opening hours against existing bookings and total physical chair capacity.

If all chairs are committed for a given 30-minute block, that specific slot is automatically grayed out in the customer app.

Operational Best Practice: You can adjust slot increments (e.g. 15-minute or 30-minute intervals) within your salon reservation settings.

4. Advance Payments & Digital Fees

To eliminate costly no-shows, STYJOIN supports digital booking confirmation via integrated online payments.

The standard STYJOIN reservation model incorporates a transparent booking fee (with automated GST calculation). Where customized salon advance deposits are configured, the advance is logged securely on the booking voucher.

Both the salon and the client receive an instant digital receipt upon confirmation.

Operational Best Practice: Advance confirmation dramatically reduces no-show rates from the typical industry 25% down to under 3%.

5. Confirming & Rescheduling Reservations

Confirmed bookings appear in your admin dashboard under 'Today's Reservations' and the forward-looking calendar view.

Salons can review incoming appointment requests, approve or reject pending requests with documented reasons, and reassign performing artists if staffing shifts change.

Operational Best Practice: If an artist calls in sick, the admin dashboard lets you reassign the appointment to another qualified stylist with one tap.

6. Cancellation Rules & The 2-Hour Cutoff

STYJOIN implements a strict 2-hour cancellation cutoff window to protect salon schedules and prevent last-minute vacancy losses.

If a customer cancels more than 2 hours before the scheduled appointment, any refundable salon advance is processed back to their original payment method.

If a customer cancels within the 2-hour window or fails to appear (no-show), the reservation deposit is non-refundable, compensating the salon for the locked stylist time.

Operational Best Practice: The 2-hour policy is clearly displayed to customers on the booking confirmation screen prior to payment.

7. Refund Handling & Financial Audits

When an eligible booking is cancelled prior to the cutoff, refund tracking is initiated automatically.

Salon owners can audit all cancelled and refunded tickets under the dedicated 'Cancelled & Refunds' tab in the salon admin portal.

Every refund record includes the original transaction ID, cancellation timestamp, cutoff audit evaluation, and final payout disposition.

Operational Best Practice: Zero manual spreadsheet calculations are required; all refund audits match your bank settlements exactly.

8. Booking Conflict Prevention Engine

STYJOIN uses ACID-compliant transactional locks to prevent concurrent booking conflicts.

If two clients attempt to reserve the final open chair for 4:00 PM simultaneously, the first submission to complete verification receives the confirmed slot, and the second is immediately prompted to select the next nearest open time.

Operational Best Practice: Double-bookings are mathematically impossible under STYJOIN's transactional conflict detection.
